Archiving the Physical Archive of KBC
Use case scanning and archiving

Project description
Objective
Intake and processing of +500,000 archive boxes with known contents.
Scenario
Over the course of 10 months, we successfully managed the complete intake and processing of KBC’s physical archive, consisting of + 500,000 boxes. The archive was stored in a warehouse with four floors, each capable of holding 150,000 boxes. Our systematic and live-tracked workflow ensured transparency, efficiency, and full control throughout the project.
Challenges and Solutions for KBC Archiving Project
-
1. Lack of Real-Time Visibility of Archive Movements
Challenge
Managing the intake and movement of 500,000 boxes across a four-floor warehouse without real-time tracking could lead to misplaced items, inefficient operations, and lack of control over the archive’s status.Solution
Our Track & Trace system provided live tracking of every box and pallet. This ensured real-time updates on location and status, enabling remote access and full transparency at every stage of the project. -
2. Heavy Operational Burden on Internal Teams
Challenge
The sheer scale of the archiving project, combined with the complexity of retrieval, transport, and intake, would have placed a significant burden on KBC’s internal resources.Solution
We fully unburdened KBC by managing the entire process—from retrieval and palletization to transport and registration—allowing KBC’s team to focus on core operations while we handled the archive intake seamlessly. -
3. Inefficient and Error-Prone Intake Process
Challenge
Manually processing such a large volume of archive boxes would be time-consuming and prone to errors, potentially delaying the project.Solution
Our streamlined intake process ensured efficient handling of all 500,000 boxes. Using mobile registration zones and our live tracking system, every movement and transaction was recorded in real-time, minimizing errors and maintaining progress at optimal speed. -
4. Limited Access to Daily Project Insights
Challenge
Without daily progress reporting, it would have been challenging for KBC to monitor the project’s status and address any potential issues proactively.Solution
Through advanced reporting capabilities in the Track & Trace system, we generated daily overviews, providing KBC with clear insights into the project’s progress and ensuring smooth communication and decision-making.
Key Benefits for KBC
-
Seamless Paper-to-Digital Transition
The physical paper streams were fully converted into a digital format, aligning with KBC’s transition to a digital-first workflow. -
Unmatched Accuracy
Control mechanisms ensured a 99% accuracy rate, meeting KBC’s high-quality standards. -
Advanced Business Logic
The digital workflow enabled the implementation of complex rules for document categorization, ensuring compliance with KBC-specific requirements. -
Efficient Communication
Dual feedback loops minimized downtime and allowed for rapid identification and correction of issues.
Transformative impact
By leveraging live tracking, daily reporting, and a highly organized workflow, we provided KBC with a worry-free, transparent, and efficient archival solution. This approach not only safeguarded their physical archive but also made it accessible and manageable at any time during the project.
Outcome
By addressing these challenges with tailored solutions, we ensured the efficient, transparent, and stress-free intake of KBC’s 500,000 archive boxes, demonstrating our expertise in large-scale archiving projects.
