Why we are expanding our archive: stricter regulations, more demand

Due to increasingly strict regulations, such as GDPR or statutory retention periods, the demand for a secure place for confidential documents continues to grow. Many sectors still produce a lot of paper today: think of healthcare, the financial sector and government institutions.

Your external archive is always close at hand

Using our own software, our employees can quickly retrieve a document and deliver it digitally to the client within 60 minutes (scan on demand). Does the client need the original? We can also deliver it on site the same working day (delivery on demand). This way, we guarantee our clients’ continuity and the external archive remains within easy reach.

Highly secured: ISO 9001 and ISO 27001 certified

Because so much confidential information is gathered in one place, the 22-metre-high concrete structure (including a concrete roof) is highly secured. In our bunker, archives are stored at random locations, which means that documents from one organisation are not necessarily all stored together in the same place.

In addition, air quality is constantly monitored, there is a direct connection with the fire brigade and police, there are physical access controls, and employees working with archive records must store their mobile phones in a locked locker. Youston is both ISO 9001 and ISO 27001 certified. This way, you can be sure that your confidential documents are handled according to the strictest international standards.

We built our own chain: from archive rack to AI. Because in addition to securely storing analogue archives, we also digitise them and developed our own AI application, ‘MiraKnows’, to make use of digital archives. We scan documents of all formats and make sure they are searchable and organised.

How our AI tool works

MiraKnows, our AI application, quickly converts unstructured documents into valuable, usable data: this way, scanned documents can be made usable and searchable.

MiraKnows can, for example, recognise handwriting, understand context, extract text and data from documents and automatically enter it into an ERP, HRM or CRM system, or you can even ask your archive questions via a chat function.

Partner of the Flemish government

The Flemish government is also investing in digital archives: in the long term, it wants a single central environmental portal where citizens have direct access to documents on, among other things, spatial planning and the land registry. To this end, the framework agreement ‘Digitalisering’ (Digitisation) was set up, under which Youston became the preferred partner to digitise the archives of cities, municipalities and other Flemish government organisations.
