Our digital mailroom service in only 5 steps:  

  • Mail collection

    We regularly collect all your mail. We pick up your mail at your offices or from your mailbox. You can even have your mail sent directly to our location.

  • Digitization

    We scan and classify your mail with specialized scanners and software that automatically recognizes all incoming documents and classifies it in the appropriate category.

  • Information extraction

    All necessary data is extracted from your incoming mail, even in unstructured or multiple page documents.  No document is too complex: loan, bank card or mortgage applications, contractual agreements, invoices, forms and questionnaires, reports, etc.

    All extracted data is automatically checked and validated. If the accuracy of the data cannot be guaranteed through automatic checking, a check is performed by our trained staff who index the documents manually.

  • Distribution to the correct departments/teams/people.

    The scanned mail (images & metadata) can be fed directly into your existing workflows, your ERP, your DMS, CRM, HRM or any other IT system or application. It can also get sent directly to the mailbox of the people or departments that are responsible within your organization.

  • Physical mail is securely destroyed (unless instructed otherwise)

    Confidential archive storage or return are also possible, as requested.
